On June 18, 2025 the University Libraries, along with all OhioLINK member Libraries, migrated to a new library system. This migration involved two years of planning, preparation, configuration, testing, and data migration. Multiple library staff members were involved in the migration project and all library staff dedicated time to learning the new system.
Moving from the legacy library platform to the Ex Libris system represents not just an upgrade, but a strategic realignment with the future of library technology. While the legacy system served the University Libraries well for over 30 years, the Ex Libris system is a cloud-native platform offering greater flexibility, collaboration, and digital resource management.
Capital funding obtained by OhioLINK allowed for implementation of the new system with no increased cost to Wright State University.
The new library catalog, locally called QuickSearch, is a discovery tool that provides users with a unified search experience across all library materials, including electronic, print, and open-access resources. Its user-centric design greatly enhances discoverability and accessibility of resources, meeting the expectations of today's students and faculty.
The catalog is fully integrated with the library system, providing a seamless interface to make research materials immediately available.
The new library system offers increased collaboration between OhioLINK libraries, facilitating shared cataloging and acquisitions among consortia members. This collaboration allows libraries to streamline workflows and reduce duplication of effort.
Additions to OhioLINK collections, both electronic and physical, will be immediately available to library users.
One of the most significant benefits of the Ex Libris system is its cloud-native design, which eliminates the need for on-site servers and reduces the burden of IT maintenance. The Ex Libris system is fully cloud-hosted and managed, and features the latest security protocols. Regularly scheduled update cycles allow for rapid integration of new features.
The Ex Libris system offers an integrated platform for managing both print and electronic resources. The process of acquiring, cataloging, and managing resources is seamlessly unified, creating a holistic approach that allows for better oversight of the library's collections. The system's knowledgebase is continually updated, making it easier to manage subscriptions and holdings in a centralized and accurate way.
The robust analytics tool, Alma Analytics (powered by Oracle Business Intelligence), allows library staff to generate detailed, customizable reports and dashboards, offering insights into circulation trends, acquisitions budgets, usage statistics, and more.
Library staff can leverage data in real time to inform collection development and improve services. The ability to automate recurring reports also improves staff efficiency and supports evidence-based decision-making.
Although the implementation of the Ex Libris system was the primary focus of the migration project, OhioLINK's contract includes additional products such as a mobile app, a course reserves management system that integrates with Pilot, and a vendor-neutral ordering system for purchasing academic research content.
While migrating systems is a technical upgrade, this migration represents an investment in our students and faculty. The system's integrated resource management, superior analytics, and increased collaboration with OhioLINK libraries allow University Libraries staff to better serve our students. The new library system represents the University Libraries' dedication providing exception resources and services that support the academic and research needs of the Wright State University community.
